Backup and recovery

Backup at VYN IT is the ability to get a file, a mailbox or a server back after it is gone. The copy does not sit on the system it protects, and it counts only after someone has opened a restored file.

Backup at VYN IT is the ability to get a file, a mailbox or a server back after it is gone. The copy does not sit on the system it protects, and it counts only after someone has opened a restored file.

Servers, virtual machines and Microsoft 365 are separate jobs. A snapshot on the same storage is not a backup. Retention and the first call in an incident sit on a short list, not in a folder only one person knows.

What we do

  • Servers and virtual machines

Protection for the machines that run the business software, with a target outside that host.

  • Microsoft 365

Mailboxes and files in the cloud are not automatically kept forever. What the tenant does not cover, we copy separately.

  • A restore test

A file or a mailbox is brought back and opened. A green job without that test is not proof.

  • Retention

How many days or weeks remain depends on when a mistake would be noticed, not on a full target nobody empties.

  • Order in an incident

What must run first, who calls the provider and where the admin accounts are, sits on a sheet that does not exist only on the failed server.

Technologies and solutions

  • Image and file backup

Whole machines where recovery needs a machine, and files where one share is enough.

  • A target outside production

Another device, another share, not the server’s own data disk.

  • Microsoft 365

Exchange, OneDrive and SharePoint where tenant retention is not enough.

  • Job monitoring

Failures and “no successful run for days” go to a role address. Someone reads them Monday to Friday.

  • A snapshot is not a backup

A snapshot on the same disk dies with the disk. We say the same on the virtualization pages.

What you gain

  • You know what comes back

Not only that a job was green, but that a file opened.

  • Mail and servers are both covered

A file-server backup does not replace a deleted mailbox, or the other way around.

  • Failures have a recipient

Full targets and expired accounts do not stay invisible for weeks.

  • The first step is known

In an incident there is an order, not a search for the password.

Typical problems

  • Backup on the same server

Encryption or a dead disk takes the original and the copy together.

  • Only the job is green

Nobody has restored a file in a year.

  • Microsoft 365 is treated as forever

Deleted mailboxes and overwritten files are gone after tenant retention ends.

  • Alerts to an old address

The job is red, and the mailbox no longer exists.

How we work

  1. 1

    Advice

We list what the business would miss: the application, files, mail, and how old the last usable copy may be.

  2. 2

    Planning

Target, retention and recipients are fixed before a product is chosen.

  3. 3

    Implementation

Jobs start with a small restore, not after the first real loss.

  4. 4

    Optimization

Full targets, slow windows and exceptions are adjusted.

  5. 5

    Ongoing care

New systems join the backup. Old jobs are switched off so nobody trusts a ghost.

Frequently asked questions

Is a snapshot a backup?

No. A snapshot is a short fallback on the same storage. If the disk fails, the snapshot fails with it. A backup sits apart and is proved by a restore.

Does Microsoft 365 keep everything?

The tenant has its own retention, which does not cover every deletion or every period. Mailboxes and files you need for longer, or independently, are copied separately.

How often do you test a restore?

When it is set up and again during care, not only on installation day. We open a real file or mailbox, not only the colour of the job.

How fast are we back online?

That depends on data volume, the line and whether the hardware is still there. We name an order and the last tested copy, not an invented number of minutes.

Who is told when a job fails?

A role address two people read, plus the view we help operate. Not the private mailbox of the person who once installed it. Alerts are read Monday to Friday.
